This Privacy Policy describes the policies of InfoSol Ltd trading as Squirrel365, B1 Vantage Park, Old Gloucester Road, Hambrook, Bristol, England, BS16 1GW, United Kingdom of Great Britain and Northern Ireland, email: legal@squirrel365.io, phone: 07814 333745, on the collection, use and disclosure of your information that we collect when you use our website (https://squirrel365.io) (the “Service”). By accessing or using the Service, you are consenting to the collection, use and disclosure of your information in accordance with this Privacy Policy. If you do not consent to the same, please do not access or use the Service.

We may modify this Privacy Policy from time to time. We will post the revised Privacy Policy on the Service, and it will take effect 28 days after it is posted; your continued access or use of the Service after that date will constitute your acceptance of the revised Privacy Policy. Where a change is required in order to comply with applicable law or to address a security risk, we may make it on shorter notice. If you are a Squirrel365 customer, clause 17 of our Terms of Use also applies to changes to this policy. We recommend that you review this page periodically.

We will process your personal information only where we have a lawful basis to do so under applicable data protection laws. Where we intend to use your personal information for a new purpose that requires your consent, we will obtain your consent before using your information for that purpose, unless we are otherwise permitted or required to do so by law.

How We Share Your Information:

We will not transfer your personal information to any third party without seeking your consent, except where such transfer is necessary to provide the Service, or in the limited circumstances described below.

Analytics providers, as listed on our sub-processor page, for the purpose of measuring and improving use of the Service.

AI providers, as listed on our sub-processor page, for the purpose of providing and supporting the AI-powered features (Tufty and the AI Query Builder).

We require such third parties to use the personal information we transfer to them only for the purpose for which it was transferred and not to retain it for longer than is required for fulfilling the said purpose.

We may also disclose your personal information for the following purposes: (1) to comply with applicable law, regulation, court order or other legal process; (2) to enforce your agreements with us, including this Privacy Policy; or (3) to respond to claims that your use of the Service violates any third-party rights. If the Service or our company is merged with or acquired by another company, your information will be one of the assets that is transferred to the new owner.

Artificial Intelligence Features:

Our Service includes AI-powered features (the AI Agent, known as Tufty, and the AI Query Builder). When you use these features, certain information is transmitted to a third-party AI provider so that we can generate the requested result:

• For the AI Query Builder: only your database schema information (such as table and field names) and the natural-language question you type are transmitted to the AI provider. No underlying data values are sent.

• For the AI Agent (Tufty): the instructions you type and the content of your Project, including the data values in your embedded spreadsheet, may be transmitted to the AI provider — except for any data you have marked as private, which is not sent.

We publish the AI providers we use, and the full list of providers approved to process this information, on our sub-processor page at https://squirrel365.io/sub-processors/. We may move between the providers on that list at any time — for example to maintain service during an outage or to comply with legal requirements — and we will give you at least 28 days’ notice before adding a new provider to it.

Our AI providers process this information to provide the requested AI-powered functionality. We only use AI providers on service tiers whose terms prohibit the use of information submitted through these features to train or improve their AI models. An AI provider may retain or process certain information for a limited period for purposes such as detecting and preventing misuse, maintaining the security of its service, troubleshooting, or complying with legal or regulatory requirements. If something you submit is flagged by an AI provider’s safety or abuse systems, it may be kept for longer and may be looked at by that provider’s staff as part of enforcing its policies. The applicable retention periods and safeguards are set out in each provider’s own terms and documentation, which we link from our sub-processor page at https://squirrel365.io/sub-processors/, and may change from time to time.

Because our AI providers operate internationally, information processed through these AI features may be transferred outside the United Kingdom and the European Economic Area. Where a transfer of personal information is subject to UK international transfer requirements, we will use an appropriate transfer mechanism and safeguards in accordance with applicable UK data protection law, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. Please do not enter personal, confidential or sensitive information into AI feature prompts unless you are authorised to do so and such processing is appropriate. You should also use the private-data controls available in the Service to exclude any data that you do not wish to be sent to the AI provider.

Where we process Customer Personal Data on behalf of a customer, our AI providers act as our sub-processors and are subject to appropriate contractual and data protection requirements. Further information about the use of AI providers and the processing of personal information is provided in our Terms of Use and, where applicable, our Data Processing Agreement.

Retention of Your Information:

We will retain your personal information with us for 90 days to 2 years after you terminate your account or for as long as we need it to fulfil the purposes for which it was collected as detailed in this Privacy Policy. We may need to retain certain information for longer periods such as record-keeping/reporting in accordance with applicable law or for other legitimate reasons such as enforcement of legal rights and fraud prevention. Residual anonymous information and aggregate information, neither of which identifies you (directly or indirectly), may be stored indefinitely.

Your Rights:

Depending on the law that applies, you may have a right to access and rectify or erase your personal information or receive a copy of your personal information, restrict or object to the active processing of your information, ask us to share (port) your personal information to another entity, withdraw any consent you provided to us to process your information, lodge a complaint with a statutory authority, and exercise such other rights as may be relevant under applicable laws. You may opt out of direct marketing communications or the profiling we carry out for marketing purposes by writing to us at legal@squirrel365.io.

Do note that if you do not allow us to collect or process the required personal information or withdraw the consent to process the same for the required purposes, you may not be able to access or use the Service for which your information was sought.

We and our service providers use cookies and similar tracking technologies in connection with the Service. To learn more about the technologies we use, and about your choices in relation to them, please refer to our Cookie Policy.

Security:

The security of your information is important to us and we will use reasonable security measures to prevent the loss, misuse or unauthorised alteration of your information under our control. However, given the inherent risks, we cannot guarantee absolute security and consequently, we cannot ensure or warrant the security of any information you transmit to us and you do so at your own risk.

This Privacy Policy does not address the privacy policy and other practices of any third parties, including any third party operating any website or service that may be accessible via a link on the Service. We have no control over and assume no responsibility for the content, privacy policies or practices of any third-party sites or services.
